The majority of the Personal Data we hold you freely provide to us when you create your profile, or submit your CV or job cover letter for a job application. If there is any information you would prefer us not to have, please omit this from any submissions sent to us. Some Personal Data is necessary for us to create an account for you, so in the instance where you do not want to share this Personal Data, we will be unable to provide our services to you.

Other sources we use also include:

8. What Data Do You Collect?

Depending upon your use of Our Site, we may collect and hold some or all of the personal data set out below. Please also see Part 17 for more information about our use of Cookies and similar technologies and our Cookie Policy.

– Applicant Tracking System (ATS) software that enables to manage recruitment process and select the most suitable candidates based on their CVs.

We will only use your personal data for the purpose(s) for which it was originally collected unless we reasonably believe that another purpose is compatible with that or those original purpose(s) and need to use your personal data for that purpose. If we do use your personal data in this way and you wish us to explain how the new purpose is compatible with the original, please contact us using the details in Part 21.

If we need to use your personal data for a purpose that is unrelated to, or incompatible with, the purpose(s) for which it was originally collected, we will inform you and explain the legal basis which allows us to do so.

In some circumstances, where permitted or required by law, we may process your personal data without your knowledge or consent. This will only be done within the bounds of the Data Protection Legislation and your legal rights

10. What legal basis do we rely on to process your Personal Information?

– Consent: In some cases, we process your data with your consent. For example, we rely on consent when linking your Dairyjobsearch.com account to your Social Network account (e.g. LinkedIn). You have the right to withdraw consent at any time. Where consent is the only legal basis for processing, we will cease to process data after consent is withdrawn

– Processing required to fulfil a contract:  we may process your data when we need to do this to fulfil a contract with you, such as to send your CV to an employer or recruiter for a specific job application

– Legitimate Interest:  we can also process your data when it is deemed our legitimate interest to do so and when these interests are not overridden by your data protection rights

Our legitimate interests include:

– Ensuring the security and integrity of our services at all times.

– Enabling Our Site to operate effectively.

– Protecting and maintaining the safety, health and welfare of our customers, employees and other individuals.

– Promoting, marketing and advertising our products and services and/or sending promotional communications which are relevant and tailored to individual customers.

– Understanding our customers activities, needs, behaviours and preferences.

– Developing new products and services and improving existing products.

– Managing complaints, queries, customer contacts or disputes.

11. How Long Will You Keep My Personal Data?

We will not keep your personal data for any longer than is necessary in light of the reason(s) for which it was first collected. 

Candidate data is held for as long as individuals keep their accounts and is deleted upon request.

12. How and Where Do You Store or Transfer My Personal Data?

We may store or transfer some or all of your personal data in countries that are not part of the European Economic Area (the “EEA” consists of all EU member states, plus Norway, Iceland, and Liechtenstein). These are known as “third countries” and may not have data protection laws that are as strong as those in the UK and/or the EEA. This means that we will take additional steps in order to ensure that your personal data is treated just as safely and securely as it would be within the UK and under the Data Protection Legislation as follows:

We may share your data within the group of companies of which we are a part. Where this involves the transfer of personal data outside the EEA, our group ensures that personal data is protected by requiring all companies within the group to follow the same rules with respect to personal data usage. We may share your data with external third parties, as detailed below in Part 13, that are based outside of the UK.

13. Who Do You Share My Personal Data With?

– Recruiters and Agents: Whilst undertaking our business purpose to help you search for and secure a job, we may make Personal Data available to third parties such as recruiters and other intermediaries and agents and other carefully selected business partners.

– Our service providers: This includes, but is not limited to, external third-party service providers such as accountants and auditors, IT systems, support and hosting service providers, market research and analysis service providers, data storage and cloud providers and other outsourced providers that assist us in carrying out business requirements

– Governmental authorities and third parties involved in court action: we may share Personal Data with governmental or other public authorities and third-party civil legal process participants and their accountants, auditors, lawyers and other advisors and representatives as we believe to be necessary or appropriate. Examples would be to comply with applicable law, protect our operations, and to protect the rights of ourselves, our group, you or others

– Other third parties: Where appropriate, we may occasionally share Personal Data with other third parties. This will always be done under contract and in accordance with your instructions.

– Other companies in our group. This includes our holding company and its subsidiaries. We will remain responsible for the management and security of jointly used Personal Data. Access to Personal Data within our group companies, is restricted to those individuals who have a need to access the information for legitimate business purposes.

We utilise a number of services and third-party products to aid us in providing you with the best on and offsite experience we can. Some of these services are non-negotiable and any request not to have your data shared with these services may mean we are unable to provide you with use of Our Site. If any personal data is transferred outside of the UK, we will take suitable steps in order to ensure that your personal data is treated just as safely and securely as it would be within the UK and under the Data Protection Legislation, as explained above in Part 9.

If we sell, transfer, or merge parts of our business or assets, your personal data may be transferred to a third party. Any new owner of our business may continue to use your personal data in the same way(s) that we have used it, as specified in this Privacy Policy.

In some limited circumstances, we may be legally required to share certain personal data, which might include yours, if we are involved in legal proceedings or complying with legal obligations, a court order, or the instructions of a government authority. 

14. How Can I Control My Personal Data?

14.1 In addition to your rights under the Data Protection Legislation, set out in Part 5, when you submit personal data via Our Site, you may be given options to restrict our use of your personal data. In particular, we aim to give you controls on our use of your data for direct marketing purposes (including the ability to opt-out of receiving emails from us which you may do by unsubscribing using the links provided in our emails.

14.2 You can decide to update your preferences or unsubscribe from any employment or promotional information that we may send to you by using the below methods:

– Using the preferences or unsubscribe functions at the bottom of any email we send.

– Contacting us on the Contact Us page of Our Site.

14.3 You may also wish to sign up to one or more of the preference services operating in the UK: The Telephone Preference Service (“the TPS”), the Corporate Telephone Preference Service (“the CTPS”), and the Mailing Preference Service (“the MPS”). 14.4 When you register or apply for a job through Our Site, you will create an account on the site, against which we will store your basic details such as name, age, location, professional experience, CV (if supplied). On future visits, when logging in to your “My Profile” area, it is protected by your password and may only be accessed by you. You can manage the content and information in your “My Profile” at any time, by logging in to your “My Profile”. As part of the account creation process, you will also agree to our Terms and Conditions. 

14.5 Provided you have consented to do so, your CV can be viewed by our customers, as well as customers. You may however choose to remove your CV from our database by contacting us using the contact details provided below in Part 21.

14.6 When you access our website online, we store some information about you. This is generally anonymous and used for statistical purposes. However, we use a specific cookie to work with Google Analytics and help us to understand how logged in users interact with our site. The information we collect helps us to provide a better experience and allows us to understand how you use Our Site to fulfil your goals. You can learn more about privacy at Google or choose to opt-out of this feature entirely by installing the Google Analytics Opt-out Browser Add-on.

14.7 You can remove any of the information that we store about you, at any time, by logging in to your account and choosing to ‘delete my account’.

If you would like to permanently delete your account and all information held on you (that isn’t legally required to be kept for legitimate business purposes), you can send an email (using the contact details provided below in Part 21) with the subject line “Permanently delete my data and account”. Make sure to let us know who you are so we can identify the information to be permanently deleted. To make this as easy as possible for you, a ‘Delete My Data Request Form’ is available for you to use. You do not have to use this form, but it is the easiest way to tell us about your request to permanently delete your data.

15. Can I Withhold Information?

You may access certain areas of Our Site without providing any personal data at all. However, to use all features and functions available on Our Site you may be required to submit or allow for the collection of certain data.
